Closeout—Additional Materials (CDC)

CDC awardees will see the Additional Materials closeout task to submit any other required documents as stated in Terms and Conditions of the award.

Agency-Specific Instructions: Centers for Disease Control. This topic applies only to CDC awards. Only CDC awards have this type of closeout requirement.

NOTE: Only a signing official (SO) or a user with delegated report submit authority can submit the reports or other data; the program director/principal investigator (PD/PI) can upload, preview, delete and save the closeout report submission package, but cannot complete the final step to submit.

To prepare and submit additional materials:

  1. Log into eRA Commons as an SO or a PI and access the Closeout Status screen. To access the Closeout Status screen, see Accessing the Closeout Screen (SO and PI).

  2. Click the Additional Material(s) button on Closeout Status.

Below is a sample Closeout Status screen showing the task. Depending on the awarding agency, different tasks might appear than those shown.

The Additional Materials (RAM) screen appears, shown below:

  1. Drag and drop file(s) in the "Drop Files Here..." area, or click the browse link and choose file(s) from your drive. The drop files area specifies how many files and what file types are allowed. For uploaded files, you can:
    • Click the Download icon Download icon and the browser will open or download the file.
    • Click the Delete icon Delete icon to remove the file.
  1. If you change your mind about this submission, and you want to discard it completely, click the Delete button at the bottom of the screen. The Preview button shows the entire submission, which consists of a PDF with application Information, data about who uploaded the file and when, followed by the uploaded file's contents.

  1. To save the file with the additional material files, but not submit to the agency, click the Save button. This will update the status of the Additional Materials to uploaded.

  1. To finalize this additional material submission and submit it for agency review, click the Submit button (SO only).

Buttons Available After Submitting Additional Materials

Buttons appear after the Additional Materials is first submitted:

  • After the Additional Materials is submitted, but not yet accepted by the agency, the Additional Material(s) button remains available on Closeout Status. As long as the submission is not yet accepted, you can continue to upload and submit the Additional materials as many times as needed. Each submission replaces the prior submission.

  • After the Additional Materials is submitted, a View button becomes available on Closeout Status. Click it to see the entire submission, which consists of a pdf with application Information, data about who uploaded the file and when, followed by the uploaded file's contents.
