Tasks
The Tasks screen shown below is the default opening screen in PMM. It also opens when you select View Tasks from the Tasks drop-down menu.
Use the Tasks screen to view and manage the tasks automatically assigned to you in PMM.
Task Timeframes
Tasks are sorted by Due Date in ascending order. Click the arrows in the column headers to sort by other properties.
Based on the type of the task, and the preferences you set, a task can be marked as:
- Due: Due Immediately
- Due Tomorrow
- Due Next 7 Days
- Due Later
Task Types
Currently there are four possible task types in the Tasks screen:
- Complete checklist — This task is generated when a competing grant application is set to a status of “35—To Be Paid,” or when a non-competing grant application’s RPPR is submitted, or when a Type 4 is created. See Checklist online help. The task drops off either when the checklist has been completed, or the application is awarded.
- Sign off on award — This task is generated when the checklist is marked as complete. See Checklist online help.
- Acknowledge/Return Assignment — This task is generated if your IC uses the Internal Referral Module (IRM) and an application has been assigned to you. See Acknowledge/Return Application Assignment.
- Accept FRPPR — This task is generated when the Final RPPR is submitted. Click to go to the FRPPR Acceptance screen.

Accept IRPPR — When an IRPPR is submitted, a new task is created for the assigned PO to accept the IRPPR with a default due date of 14 days.Click to go to the IRPPR Acceptance screen.
NOTE: For Multi-Year-Funded (MYF) awards, a task to complete the Checklist generates for Program staff when the annual MYF RPPR is submitted by the recipient. Note: Tasks will not be generated for awards not supported by MYF RPPR (e.g., SBIR/STTR and multi-project grants that have been multi-year funded).
Actions
Tasks are assigned a default due date and automatically drop off your task list when they are completed.
You can also manually change a due date or close (delete) a task from the list. Use the tools in the Actions column to perform these actions on your tasks:
- Click the edit icon to change the task’s due date. See Edit Task.
- Click the trash icon to close (i.e., complete) a task and have it removed from your task list. See Close Task.
Task Preferences
Select Task Preferences from the Tasks menu in the top menu to open the Task Preferences display to configure when sign-off tasks are considered due.
View Other User's Tasks
Once you have selected another user's portfolio to view, you also have access to that user's tasks: You can view and complete their tasks just as if they were your own.
So when you are filling in for other users in your IC, you can keep their tasks up-to-date.
- To begin, select another user's portfolio in the Other Portfolio User Search screen as usual.
- Then, select Other User's Tasks from the Other Portfolio menu, as shown here:
